Deanery of Infrastructure & Services offers ample facilities for arranging conferences, seminars, talks, workshops, academic/scientific events, and cultural events on campus. The current facilities include an auditorium with a seating capacity of 73 in the North Campus.
The auditorium is equipped with the following facilities:
- Audio-visual facilities
- Projector with high lumens
- 20 surround sound system
- Array speakers
- Interactive PPT equipped podium on the stage
- Instrumentation and vocal mics
- Digital signal mixer with recording
- HVAC functionality
For booking these facilities for sponsored workshops, conferences, cultural events, etc., the following terms and conditions apply.
General Terms and Conditions
Bookings
- All bookings must be made via a written request enclosing the event details and target audience.
- Tentative bookings are subject to approval. Upon approval, an intimation will be issued from the Deanery of infrastructure & services office, and the necessary advance must be paid as per the intimation, failing which the booking will be canceled.
- Official institute events have the highest priority (bookings should be made at least one month in advance), followed by faculty or student gymkhana events (bookings should be made at least two months in advance), and external users (bookings should be made at least three months in advance). Bookings outside these windows are subject to availability and will be confirmed on a first-come, first-served basis, subject to other conditions.
- The booking of the entrance area of the auditorium complex and the lawn at the center of the village square requires separate charges.
- The Dean (I&S) or Director reserves the right to cancel the booking/event under exigencies at any time without assigning reasons.
- All legal disputes are subject to the jurisdiction of Mandi Court only.
Rentals, Payment & Cancellation
- Rentals indicated at the time of booking will hold good if there is no revision; however, the ruling rentals will apply during event dates. Booking is confirmed only on receipt of payment and acceptance of terms and conditions.
- All payments must be made online to the specified account:

- The complex is available from 8:00 AM to 7:00 PM on event days and 9:00 AM to 5:30 PM on preparatory days. For external users, additional charges apply for use beyond 7:00 PM. Events of internal users may be exempt from these charges.
- No refunds are given for force majeure events (e.g., riots, fires, strikes, natural calamities).
- Organizers must replace any damages caused to IIT Mandi property during the event.
- Cancellations, including postponements, must be communicated in writing. Refunds vary based on the timing of the cancellation.
- Preponement or postponement is considered if the facility is free on the required date and upon additional payment of 10% of the charges. One free preponement or postponement is permitted if communicated 10 days in advance.
- Refunds for cancellations:
- One month or earlier: 50% of advance payment
- Two weeks before: 25% of advance payment
- Less than two weeks: 10% of advance payment
Services
- AC plants operate only on event days and an hour before the event.
- Organizers must engage agencies for special services.
- Standard toiletries are provided; exotic varieties are the organizer's responsibility.
- No temporary electrical connections or external DG sets are permitted.
- Only the provided sound and lighting systems are allowed.
- Entry to AV control rooms is prohibited for security reasons.
- Auditorium staff manages all light and sound controls.
- Organizers are responsible for labor support for event-related belongings.
Food
- Meals, snacks, and beverages are prohibited inside the auditorium and seminar halls.
- Alcohol and smoking are prohibited on campus.
- Dinner service is prohibited in seminar halls and other facilities.
- Organizers must arrange their catering and ensure clean-up.
- No LPG stoves or electric cooking devices are allowed.
- Food serving areas must be cleaned and cleared immediately after events.
General
- The number of occupants must not exceed the seating capacity.
- Fireworks are prohibited.
- IIT Mandi is not responsible for theft or loss of belongings.
- VIP visits must be communicated in advance.
- Contact details of IIT Mandi staff should not be published.
- Authorized staff may enter any part of the venue during events for oversight.
- Oil lamps are allowed only on designated stands; flowers are restricted to certain areas.
- Cultural events must be within auditoria; foyer use is restricted.
- Parking is limited; alternate arrangements must be made if needed.
- The venue must be returned in a clean condition.
- Only ready-to-install stalls/banners are allowed; no carpentry or welding on-site.
- Organizers must meet security requirements two weeks before the event.
- Violation of rules may incur a penalty of Rs. 5,000 per violation per day.
- Exceptions require approval from the Dean (I&S) or Director.

Internal events and student gymkhana activities are exempt from charges for A1-NKN classroom, SC-NKN Classroom, and A4 Conference Room. Sponsored internal events are charged as per the table above.
