Subject: Revision in the rates for hiring of taxis or use of personal vehicle (own car) for Official Purpose
The Competent Authority has approved the revision in rates for hiring of Multi-utility vehicle (MUV) /Sedan taxis for official purpose at the Institute. The taxis may be hired as and when required basis.
Likewise, the Competent Authority has also approved the revision in rate of reimbursement for claims on use of personal vehicles (own car) for official purpose @Rs. 11 per k.m. for all categories of cars. In addition, while travelling by own car for official purpose in the districts of Kinnaur, Lahaul & Spiti, Pangi and Bharmour Subdivisions of Chamba district, cushion charges @ 25% is allowed over and above the normal rates.
The following Tour & travel agencies have conveyed their willingness to provide taxi services to the Institute:

Revised rates, terms & conditions are placed at Annexure “A” for utilization of taxis for official purpose and shall be applicable with immediate effect.
This has been issued with the approval of competent authority. It supersedes the earlier Notification no. IITM/Genl./Taxis/2019-19/440-50 dated 10.04.2019.

Terms and Conditions:
- The rates mentioned above are inclusive of AC (cooling/heating) in hills as well as in plains.
- The taxi on call will have to be provided at Mandi/Kamand (South/North Campus) as per requirement. No extra mileage will be paid for providing the taxi at Mandi/Kamand.
- The driver deputed by the transporter for driving the hired taxi should be sober and in neat/clean uniform.
- The transporter should ensure that the taxi(s) provided on call to the Institute are properly washed and maintained.
- The rates mentioned above are final and nothing extra on account of toll tax, other state’s road tax, parking charges, GST, entry tax, etc. will be paid by the Institute.
- The rates mentioned above are applicable for journeys in plains as well as in hills. Nothing extra will be paid over and above the rates mentioned above.
- If there is break down of the taxi during the journey(s) or misbehavior of the Driver is reported, suitable deduction as penalty will be made from the taxi bill at the discretion of the person travelling/travelled. This will be binding on the taxi operator/owner.
- It will be the responsibility of the taxi driver/owner to get the signature of the person travelling/travelled in the taxi on completion of the journey(s) by getting the mileage, time of start and completion of journeys noted on the slip. The comments of the person using the vehicle regarding the behavior of the driver may also be got recorded. The signed slip should be attached with the bill for its verification, etc. while verifying the bill for payment.
- It has been noticed in the past that sometimes the taxi owner after booking the vehicle for a particular day cancel the same at the eleventh hour. If the booked vehicle is cancelled by the owner at the eleventh hour, the difference in the charges paid/payable for arranging another vehicle will be recover from the bills of the defaulting taxi owner besides levying of penalty as per discretion of the institute authority.
- The service provider is required to provide taxi service as and when requisitioned by the authorized person(s) of the Institute on the agreed rates, terms and conditions. If at any time charging of extra rates/amount is reported/noticed, recovery of the amount charged extra will be made besides penalty from the subsequent bills of the service provider.
- Once the Tours & Travel agency gets itself registered for providing the taxi(s) at the above rates, it will be binding of that agency to provide/arrange vehicle as and when requisitioned by the authorized person(s) of IIT Mandi.
- If the agency fails to provide/arrange the vehicle on demand, IIT Mandi will arrange the vehicle itself at the risk and cost of the defaulting agency. Recovery of extra charges incurred/to be incurred will be made/adjusted from the subsequent bills of the defaulting agency(ies).
- The service provider will not ask for any extra charges over and above the rates mentioned above for to and fro journey, if the user of the hired taxi or the authorized official of IIT Mandi desires to pick up some other person/visitor for return journey or en route on the day of journey. If at any time, extra amount is charged by the agency/driver, the same will be recovered from the subsequent bills.
- The contracted taxi tariffs will be reviewed for revision periodically.
